Mission 1: Ensure the smooth running of the supply chain (order, purchase, storage and deliveries);
Support of flying PMs in the assessment of their needs and for provision of procurement requests.
Day to day follow up with capital logistics for the procurement of supplies at capital level and to deliver to the flying projects location.
Facilitate all supplies procurement at flying projects location in accordance to logistic supply department.
Follow up the deliveries to Lower bases and inform immediately the Logistician in charge in case of quantity or quality problem
Keep the flying team projects informed of the treatment given to their orders at flying projects level;
Ensure that all documents regarding the supply chain are filed according to Kit Log procedures
Facilitate and supervise the purchases and perform regular price checking in flying team provinces.
Ensure good warehousing conditions of the goods
Supervise the management of the In and Out of the Store (purchases, in kind donation, fuel…)
Ensure the adequacy between the physical check and the Stock Follow Up and keep the SFU/SR updated.
Facilitate and compile the monthly report for the supply part (PFU, SFU, and Price List) for the flying projects.
Make sure AAH logistical procedures are respected and supervise both clients and suppliers in the application of these procedures
Monitoring the Supply Plan of flying projects
Establishing the Treasury Forecast for flying projects.
Procurement Follow-Up with supply department for flying projects.
Putting in place and arranging for purchases in a timely manner and in accordance with the AAH procedures applying to each purchase (goods, works/services, premises)
Support flying team in negotiation and selection of suppliers with consultation of supply department.
Ensure controlling deliveries to flying projects location.
Control stock management (storage conditions, reporting, expiry dates) and stock movements
Collecting data on the market and local suppliers in flying team projects.
Mission 2: Facilitate & supervise the purchases in flying team provinces;
Organize the purchases and ensure that the internal procedures of the Kit log are respected in flying team provinces.
Draw up a planning of the monthly purchases according to supply plans for flying projects.
Inform the Admin of the forecasted expenses and anticipate the financial needs through the treasury forecast for flying projects.
Supervise the purchase and perform regular price checking (good quality/price ratio)
Ensure that the catalogues for flying team is up to date
Provide advice to the purchase prioritizing the purchases according to the needs and deadlines
Mission 3: Supervise the stocks in flying team provinces;
Guarantee that the procedures and instructions of stock management are followed;
Implement buffer stock and establish a replenishment level if necessary;
Ensure regular inventory of the stock (monthly and randomly);
Ensure that the stores are hygienic, clean and ventilated
Draw up a monthly/quarterly inventory;
Ensure the deliveries are done according to the request
Insure the management of the SFU and keep it updated
Make sure that all the documentation match together (physical inventory, bin cards, stock cards, Stock report)
Monitor regularly the storage conditions
Mission 4: Documentation and Archiving of flying team documents
Make sure all the supply chain documentation (PD, PR, SRO, and DN) is scanned and delivered to mission logistic department.
Submit hard copies of all relevant documents of flying team projects to logistic supply department
Support logistic supply department on the scanning of the documentation and the proper archiving at capital level respect to the free time.
Mission 5: Responsible for the fleet management and equipment in flying team provinces
Supervise the allocation and the use of the equipment in flying team projects and regular update share with line managers.
Ensure installation and monitor the maintenance and repairing of the equipment in accordance with the Stock and Equipment Keeper.
Doing of regular asset inventory and update the base equipment list in accordance with Stock and Equipment Keeper and the IT Manager.
Supervise and monitor the fleet management in flying team provinces.
Monitor the equipment allocation and organize the maintenance and repairing to be done by Stock and Equipment Keeper
Mange flying team vehicles on weekly planning through the existing documents.
Make sure the Log Book is properly filled up by drivers and collect it on monthly basis.
Mission 6: Supervise and team management of the Logistic in flying team provinces;
Provision of day-to-day management of the flying logistic team (guidance, follow-up, motivation)
Establish a work plan for himself as well for sub bases logistics
Control the planning of the logistics team in flying team provinces.
Delegate the activities and check that they are properly executed;
In case of absence of a direct team members, take over the activities
Organize on the jobs training sessions and technical support for flying team logistics
Carry out appraisal interviews and providing of evaluation interviews of flying team logistics with support of FFC.
Taking part in the recruitment of flying team logistic with support of FFC.
Working out and monitoring individual action plans for team members
Managing planning operations, task sharing and coordination of work
Identifying the training needs of flying team logistics members
Devising, organizing and leading training sessions
I identify and Manage difficulties in the flying logistic team
Make regular phone meeting with Base log in charge of the Supply at their level
Perform any other duties assigned by line managers
Graduate from BA in Business Administration from recognized university.
Minimum 3 years of progressively responsible experience in logistics Operations in Afghanistan.
Excellent knowledge and experience of modern logistics frame work
Excellent in networking with stakeholders and suppliers
Excellent knowledge in reporting skills, updating logistic related tools
Ability to work well within a multi-cultural staff in multiple and remote locations
Humility in the face of challenging contexts.
Demonstrated willingness to learn and constantly develop professional skills.
Excellent communication and interpersonal skills, together with the capacity to remain calm under pressure and not lose sight of strategic priorities.
Sensitivity to cultural differences and the ability to work in a wide variety of colleagues of various backgrounds.
Ability and willingness to travel to field offices/flying team project locations at short notice and in sometimes-difficult circumstances.
