Job Description:
Job Summary
The incumbent is responsible for implementing the plan for implementing WDIO’s Procurement& Logistics policies and procedures in all operations. To prepare a plan for materials and provide all needed materials of the project on time, following up of materials and communication with the procurement department, additionally, to that, to have coordination with the Partners for on-time materials delivery.
Main duties and responsibilities:
- Plan and oversee the procurement, storage, and distribution of food commodities to schools.
- Coordinate with suppliers, transporters, and warehouses to ensure smooth logistics operations.
- Monitor inventory levels and track food movements to prevent shortages or wastage.
- Develop and implement logistics plans, ensuring timely delivery of food supplies to schools.
- Establish effective transport routes and schedules to optimize efficiency.
- Ensure proper handling, packaging, and transportation of food items per WFP standards.
- Ensure all logistics activities adhere to WDIO policies, government regulations, and donor requirements.
- Maintain accurate records of procurement, inventory, and distribution processes.
- Prepare and submit periodic reports on logistics operations and performance.
- Collaborate with government agencies, partners, and community stakeholders for effective school feeding logistics.
- Conduct training for school staff and local partners on food handling, storage, and reporting.
- Address challenges in food delivery by coordinating with relevant stakeholders.
- Monitor and assess potential risks related to logistics and supply chain disruptions.
- Ensure quality control of food supplies, including expiry monitoring and proper storage conditions.
- Implement safety and security measures to protect food stocks and assets.
- Make a distribution plan for the materials
- Deliver the required materials as per plan to the points.
- Prepare inventory plan and execute the plan (Semi Annually)
- Prepare inventory report and submit to the authority
- Prepare annual material procurement plan for regular supply of ongoing schools
- Regular field visit and check the field stock records
- Any other job-related tasks that are assigned by the respective supervisor(s).
Job Requirements:
- Education: Having a Bachelor’s degree in Business Administration, Social Science, or any other relevant field is preferred.
- Work Experience: Having at least 3 years of work experience in a similar position, preferably with NGOs.
- Required Languages – Excellent Pashto and Dari reading, writing, and verbal skills, Fluent in English, reading, writing, and verbal skills.
- Skills: Marketing skills, administrative skills, Fluent in written and spoken English, best interpersonal communication, computing Word, Excel/Access applications, and working under stressful situations.
- General: Tactfulness, clear understanding of the working context, ability to read feelings/gestures, and ability to listen actively and speak effectively.
MAJOR CHALLENGES:
- Making a plan and sending materials on time.
- Delivery of the materials as per the specification.
- Making Coordination with the relevant departments.
- Keep the safety of materials at the provincial level.
