Job Summary

The post holder will be responsible for the following duties;

Main Duties& Responsibilities

  • To the full responsibility of the district-level warehouse management, including Food items and Non-Food items, i.e., warehouse equipment.
  • To receive Food items (Biscuits& Oil) from the supplier/agency selected by the donor through proper manifests/waybills at the warehouse only upon physical checking in terms of weight/quality (as applicable) & keep a record in the stock with mentioning waybill numbers, date, source, etc. 
  • To ensure that all food commodities are kept in such a condition that commodities would not be damaged while in store. And to ensure the security of Food & Non-Food commodities in the warehouse.
  • Arrange the dispatch of commodities each month up to the selected Schools as per the monthly approved plan signed by the Project Manager, through secondary transport (on a contract basis) the maintain proper transport documents (e.g., waybills).
  • To collect 3 (three) copies of the waybill after the delivery of biscuits and to keep 1 (one) copy for the office record, and send 2 (two) copies to the Project Manager with the proper waybill number, from which 1 (one) copy will be sent to the donor. 
  • To train, supervise, and help Tally Clerks to improve their performance by regular physical verification to record all stocks, and in particular, stack cards and stock registers. 
  • To make regular checks on store items for keeping and updating the inventory of all the Food and Non-Food commodities at least every six months. 
  • Stock/Assets Tracking Management& Efficient Inventory Management, and Overall Warehouse Management
  • Goods Safeguarding and Movements Management
  • Cooperation in Procurement and logistics-related activities.
  • Identify which and how much stock to order at what time, track/store/record/dispatch the stock/inventory.
  • Keep updated all the documentation related to inventory like bin card, store release card/form, stock card, delivery reports by having close coordination with provincial colleagues.
  • Keeps assigned store areas (s) and goods and supplies in a clean and tidy condition.
  • Conduct routine inventory inspection and submit report to the line manager promptly.
  • Implement and ensure clear safety procedures.
  • Implement and ensure clear loading/unloading procedures, correct stacking, and turnover (FIFO) and (FEFO) procedures.
  • Liaise with the Procurement/Logistics Officer for the receipt of goods, supplies, and equipment through proper documentation such as receipt of approved PR, Purchase Order, Invoice, and delivery report.
  • Ensures correct coding on stock items and maintains security measures.
  • Sorting, placing, and putting away the goods in the appropriate place in the warehouse according to each Program, donor, and grants coding.
  • Prepare appropriate documentations for shipment of goods moving from one location to another one and update warehouse documents and records.
  • Cooperate in the processing of procurement-related documentation with the team like, printing, scanning, goods receipt, filing, and other related activities assigned by the team.
  • Any other duties and tasks assigned by the supervisor. 

Job Requirements:

  • The applicant must have a bachelor's degree or at least 14th grade from a recognized Institute in economics, management science/business administration, or similar fields. 
  • At least 1 to 2 years’ experience working in warehouse storage/logistics/inventory management.
  • Experience working in INGOs/NGOs and Knowledge of specific donor guidelines.
  • Field experience of managing inventory/supplies/stock storage or products in the past.
  • Excellent knowledge and experience in office packages.
  • Excellent writing and speaking of Pashto, Dari & English
  • Excellent interpersonal, communication, teamwork, & presentation skills are required.
  • Ability to communicate effectively & maintain rapport with all levels of employees is required. Excellent computer skills in EXCEL and PowerPoint; plus, the ability to quickly learn various reporting systems is required.
