Job Description:
The administrative assistant role is to support administrative, procurement, and logistics functions. Ensuring efficient operations and effective management of resources.
Key Responsibilities:
Procurement:
- Support the procurement process by assisting in the preparation of requests for quotations and purchase orders.
- Maintain records of purchases and inventory, ensuring compliance with organizational policies.
- Liaise with vendors and suppliers to ensure timely delivery of goods and services.
Logistics:
- Coordinate transportation and logistics for staff and materials, including travel arrangements.
- Assist in the management of logistics related to events and training sessions.
- Ensure proper documentation and compliance with regulatory requirements for logistics operations.
Reporting and Compliance:
- Maintain accurate records of administrative, procurement, and logistics activities.
- Assist in preparing reports and documentation for audits and evaluations.
- Support adherence to organizational policies and procedures.
Job Requirements:
Education:
- Bachelor’s degree in Business Administration, Management, or a related field.
Experience:
- Proven experience, at least 3 years, in administrative support, procurement, or logistics, preferably in an NGO setting.
Skills: - Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in MS Office.
