Stock Assistant
Terms of Reference (ToR) for the position of Stock Assistant for AEHDA’s Health, WASH, and Protection project in Herat Province:

Position Title: Stock Assistant
Project Title: Health, WASH, and Protection Interventions
Duty Station: Herat Province (based in provincial warehouse, with occasional travel to field sites)
Duration: 12 months (extendable based on performance and funding)
Probation Period: 3 months
Reporting to: Logistics & Supply Chain Officer
1. Background
AEHDA is implementing integrated humanitarian assistance in Herat Province, including Health, WASH, and Protection services. Effective and transparent stock management is critical for ensuring the timely delivery of supplies to supported facilities and communities. The Stock Assistant plays a vital role in supporting inventory control and warehouse management under the supervision of the Logistics & Supply Chain Officer.
2. Purpose of the Position
The Stock Assistant is responsible for supporting the receipt, storage, arrangement, documentation, and dispatch of project supplies, ensuring compliance with AEHDA’s inventory procedures. The position ensures accurate stock records and helps maintain the physical integrity of AEHDA’s warehouse in Herat Province.
3. Key Responsibilities
• Receive incoming supplies and equipment, check quantity and quality against delivery notes and waybills.
• Ensure all goods are recorded in stock cards, bin cards, and warehouse registers.
• Label and organize goods in appropriate storage areas based on type, category, and usage.
• Support in preparing Goods Received Notes (GRNs), waybills, and dispatch forms.
• Assist in the packing and loading of supplies for delivery to field offices or health facilities.
• Conduct daily and monthly stock counts and report discrepancies immediately.
• Ensure that perishable and medical items are stored according to temperature and safety standards.
• Maintain cleanliness, safety, and security of the storage area.
• Monitor expiry dates and assist in the management of near-expiry and slow-moving stock.
• File and archive warehouse documents both physically and electronically.
• Report any damages, shortages, or losses to the Logistics & Supply Chain Officer.
• Cooperate with logistics and procurement staff to ensure stock accuracy.
6. Reporting Line
The Stock Assistant reports directly to the Logistics & Supply Chain Officer and coordinates closely with the Procurement and Field Operations teams.
7. PSEA and Compliance
The Stock Assistant must adhere strictly to AEHDA’s Protection from Sexual Exploitation and Abuse (PSEA) Policy, Child Protection Policy, and Code of Conduct. Ethical behavior in handling and reporting stock is non-negotiable.
8. Working Conditions
• Based in Herat warehouse, with occasional travel to field delivery points.
• Full-time position, 5 working days per week (Saturday to Wednesday).
• Physical labor and warehouse environment.
9. Interdiction Clause
Any act of theft, misreporting, mishandling of stock, or breach of AEHDA policies will lead to disciplinary action, including potential dismissal and legal consequences.

• Basic knowledge of inventory software and Microsoft Excel.

• Good written and verbal communication skills in Dari and/or Pashto; basic English preferred.
