Job Description:
- Summary of Key Functions
- Report warehouse and non-warehouse inventory timely
- Facilitation of knowledge building and knowledge sharing on Logistics and Procurement matters
- Report personal property and inventories for insurance
- Handle procurement of goods and service timely
- Key relations
- Reports to the Director & Deputy Director
- Conduct logistic orientation and workshop to CYPSO Staff and Partners on logistic matters
- Collaborate with all related staff on Logistics matters
3. Key Results Expected in the Logistics Section:
- Prepare inventory reports for both warehouse and non-warehouse items for the CYPSO main office, donors, and other stakeholders.
- Generate warehouse inventory reports and share them with relevant departments at the end of each financial period.
- Provide on-the-job training opportunities for newly recruited staff in sub-offices.
- Ensure that all CYPSO warehouses and storage facilities are using standard property management systems and forms.
- Assist internal and external auditors during audits of warehouses and storage facilities.
- Collaborate with the provincial manager to review food and inventory manuals, related commodity/inventory forms, and gather recommendations for improving and standardizing the system.
- Prepare a location-wise list of CYPSO’s personal property and inventories for insurance purposes, as required.
- Support the provincial manager in leading the annual physical inventory of warehouse and non-warehouse items in CYPSO offices at the end of each fiscal year and report any discrepancies between physically observed items and the book records. Update databases accordingly.
- Organize regular field trips for monitoring, conducting physical inventories, updating records, and providing timely feedback to relevant staff.
- Collaborate with the head, deputy, and other finance and accounting staff to review food and non-food inventory forms used within the organization and maintain coordination with related departments and programs.
Job Requirements:
Key Results Expected in the Procurement Section:
- Receive complete and approved purchase/service requests both online and in person.
- Ensure that the specifications, quantity, unit of measurement (UOM), location, and delivery timeline of the requested goods or services are clearly and completely stated.
- Prepare online and offline Requests for Quotation (RFQ) and Requests for Proposal (RFP) for the procurement of goods/services and collect quotations from reliable and approved vendors.
- Consistently use the approved vendor list and ensure that the selected vendor is reliable in terms of reasonable pricing, better quality, and timely delivery.
- Register new vendors in the system when required.
- Prepare the Summary Bid Analysis both online and offline, draft the Purchase Order (PO), and obtain the necessary approvals.
- Submit procurement documents to the finance department for payment processing and follow up on vendor payments through finance and the cashier.
- Perform any other tasks assigned by the supervisor.
