Job Description:
Job Summary:
The humanitarian supplies chain assistant will provide support to AFGA humanitarian response on field level, as part AFGA-UNFPA project the position holder will provide overall support on humanitarian response particularly conducting needs assessment, managing non-food items prepositioning and distribution on field level according to approved plan.
Specific Responsibilities:
- Receive and process requests for quotation for transportation of commodities and equipment.
- Implement purchases for coordination and the bases while respecting the rules and approval procedures established by donors and AFGA.
- Ensure that products purchased correspond to the requirements of the purchase officer in terms of quantity and quality
- Ensure compliance with administrative procedures for the management of advances and payment of suppliers.
- Establish and archive purchasing files according to the rules of AFGA and its donors.
- Archive all documents related to purchases and supplies.
- Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of goods to various IPs.
- Support timely delivery of commodities and supplies to authorized partners and destinations.
- Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary.
- Assist in the management of commodity accounting data quality and integrity.
- Process documentation for execution of logistics operations (e.g., GRNs, DSs, Stock cards, invoice verification, etc.), take appropriate actions to resolve operational issues, and escalate various issues to the supervisor.
- Liaise with internal and a limited number of external stakeholders to support efficient logistics operations management.
- Record daily stock in and out for the coordination office.
- Carry out monthly stock inventory for coordination and reconciliation with what should be in stock.
- Regularly monitor the quality of products during storage. Pay special attention to expiration dates.
- Archive all documents related to stocks
- The supply assistant is overall responsible for maintaining updated inventory records of the project, including all program supplies and services.
- Stocking and distributing supplies, equipment, compiling balance, cost, maintaining and updating records, and inventory database
- Reports on inventory levels, supply chain progress, procedural efficiency, and personnel issues to upper management.
- Oversees and regularly counts materials, equipment, or supplies of the project in the office and stock
- To undertake all other duties and responsibilities as assigned by the supervisor
Job Requirements:
- Graduated from a well-known pharmacy, social science, economics, or other relevant faculty.
- At least two years of working experience in procurement, supply chain, logistics, inventory management, and transportation with national or international NGOs or public entities.
- Good English skills (speaking, writing & listening)
- Good Computer Skills (MS. Office).
- Ability to cope with stressful situations.
- Excellent communication skills, both oral and written.
- Excellent self-motivation skills.
- Experience in effectively dealing with other AFGA office staff.
