Job Description:
1. Purpose of the Position
Under the overall technical supervision of Finance Manager the Cashier is responsible for handling and safeguarding all cash transactions of the University in a timely, accurate, and secure manner. He/She ensures that payments, receipts, deposits, and record-keeping are carried out in full compliance with the University’s financial policies and audit requirements. The position plays a key role in maintaining transparency and accountability in all cash-related activities.
2. Key Duties and Responsibilities
- Responsible for managing all cash transactions of the university, ensuring accuracy, transparency, and compliance with financial policies.
- Receive tuition fees, examination fees, registration fees, and other payments from students and issue official receipts.
- Disburse approved petty cash payments and maintain daily cash records.
- Ensure proper cash handling, safeguarding, and daily reconciliation of transactions.
- Deposit collected cash and cheques into the University’s designated bank accounts on time.
- Maintain up-to-date cash records in the Cash Book and provide reports to the Head of Department as required.
- Maintain accurate records of all transactions and prepare daily, weekly, and monthly cash reports.
- Assist the Finance Manager in preparing financial statements and audit documents.
- Ensure compliance with financial policies, internal controls, and audit requirements.
- Maintain confidentiality of financial data and transactions.
- Support the Finance Office in student financial clearance processes (e.g., before exams or graduation).
- Monitor and report overdue student payments and coordinate with the Finance and Student Affairs offices for follow-up.
- Assist in preparing payroll cash disbursements when required.
- Provide accurate financial information to students regarding fees and payment deadlines.
- Ensure safe custody of cash, cheques, vouchers, and other financial instruments.
- Assist in digitizing cash transactions and maintaining updated student fee records in the university’s finance system/software.
- Participate in financial audits and provide required supporting documents.
- Maintain an organized filing system for receipts, vouchers, and payment records.
- Perform any other duties assigned by the Finance Manager or University Administration.
Job Requirements:
- Education: Minimum Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Experience: At least 2 years of proven experience as a Cashier, Accountant, or in a similar finance-related position (experience in an educational institution is an advantage).
Skills & Competencies:
- Strong knowledge of basic accounting and cash handling procedures.
- Proficiency in MS Office (Word, Excel) and accounting software (QuickBooks preferred).
- High level of accuracy, attention to detail, and integrity.
- Strong interpersonal and communication skills.
- Ability to work under pressure and handle confidential information.
- Language: Fluency in Pashto and Dari, with working knowledge of English.
Working Conditions
- Full-time position based at Alfalah University – Main Campus.
- Standard university working hours, with occasional extended hours during peak periods (admissions, exams, fee deadlines).
