Job Description:
MAIN PURPOSE OF JOB:
The Knowledge Management Specialist will lead the development and implementation of a Knowledge Management Strategy, ensuring that all project tools, lessons learned, best practices, reports, dashboards, training packages, and mentorship insights are systematically captured, stored, shared, and applied across all levels (7 provinces and subsequent 50 health facilities).
The role aims to improve:
- Institutional memory
- Quality and consistency of technical implementation
- Evidence-based decision making
- Documentation for project team and stakeholders
- Learning and continuous improvement
Major Activities / Responsibilities:
KM Strategy & Learning Culture:
- Develop and operationalize the project’s Knowledge Management Strategy.
- Establish a centralized digital repository (SharePoint, KM digital repository).
- Design and apply standards for documentation, naming conventions, and version control.
- Implement processes for capturing lessons learned, success stories, innovations, case studies, and best practices.
Knowledge Capture:
- Facilitate After-Action Reviews (AAR), learning sessions, and orientation workshops.
- Work closely with technical project teams, clinical mentors, and service provider provincial staff to document:
- Field findings
- Learning from mentorship visits
- Quality improvement in insights
- Training outputs
- Meeting minutes and action points
Knowledge Storage & Administration:
- Structure KM repositories by thematic areas, key intervention, province, and type of knowledge product.
- Ensure data quality, proper indexing, and full-text search functionality for easy retrieval.
- Implement access controls & user permissions.
Knowledge Sharing & Learning Dissemination:
- Produce and disseminate regular learning briefs, newsletters, technical updates, and knowledge bulletins.
- Maintain a library of SOPs, guidelines, checklists, training materials, dashboards, and tools.
- Facilitate technical learning exchanges among provinces and service providers.
- Organize monthly or quarterly Learning & Sharing Forums.
Supporting Reporting, Documentation & Donor Requirements:
- Support quarterly reporting with evidence, photos, case studies, and technical content.
- Ensure compliance with donor KM requirements and branding guidelines.
- Document key achievements, innovations, and success stories for project visibility.
KM Technology & Digital Systems:
- Ensure KM system usability and training for team members.
- Work with project team to maintain KM digital repository.
- Support development or improvement of:
- Document repositories
- Dashboard development and maintenance
- Digital storytelling tools
Capacity Building:
- Train project staff, clinical mentors, service provider staff, and partners on KM principles and tools.
- Develop KM manuals, orientation packages, and SOPs.
- Build a culture of documentation, sharing, and continuous learning.
- Any other relevant task assigned by the supervisor
Job Requirements:
REQUIRED MINIMUM EDUCATION:
- Bachelor’s degree in public health, Knowledge Management, Communications, Information Management, Health Informatics, or related field, master’s degree in public health and information management is preferred.
REQUIRED MINIMUM EXPERIENCE:
- Minimum of 6 years of relevant experience in Knowledge Management, quality improvement, M&E, data systems, communications, or learning roles.
KNOWLEDGE AND SKILLS:
- Experience working in health programs, preferably MNH, QoC, immunization, or mentorship.
- Demonstrated ability to create high-quality knowledge products (briefs, reports, manuals).
- Experience with digital KM tools (SharePoint, KM portals, databases).
- Experience with dashboards, or data visualization is an asset.
- Strong writing and documentation skills (English, Pashto and Dari).
- Ability to synthesize complex information into clear, user-friendly knowledge products.
- Familiarity with KM frameworks (Capture → Store → Share → Apply → Improve).
- Proficiency in MS Office, PowerPoint, and digital collaboration platforms.
- Basic understanding of web-based KM systems is a plus.
- Strong communication and facilitation skills.
- Analytical, organized, and detail oriented.
- Ability to work independently and collaboratively.
- Commitment to learning culture and continuous improvement.
