Job Description:

The HMIS Assistant is responsible for collecting, verifying, entering, and managing health data from MHCO-supported health facilities in Nangarhar Province, working under the supervision of the HMIS/MEAL Coordinator. The role includes reviewing raw data, entering accurate information into the MoPH DHIS2 system, retrieving data when required, maintaining proper filing systems, and supporting the preparation of reports, charts, and statistical summaries. The HMIS Assistant conducts data cleaning, resolves data inconsistencies, provides feedback to facilities, distributes HMIS tools, and offers on-the-job support during supervision visits. This position requires strong attention to detail, good analytical and communication skills, and the ability to ensure high-quality data management in line with MHCO and MoPH standards while upholding safeguarding and confidentiality requirements.

Duties & Responsibilities:

  • Collecting, reviewing and tracking of HMIS reports from all HFs under coverage of MHCO.
  • Ensuring data quality of HMIS data before entry to MoPH DHIS2.
  • Have strong coordination with M&E cluster supervisor for collecting, analyzing, reviewing and using of HMIS data.
  • Ensuring the DHIS2 data quality (HMIS data from report and system must match 100%).
  • Identifying and Sharing of data suspected (higher, lower and outlier) with direct supervisor immediately.
  • Enter collected and verified data into MoPH DHIS2 data warehouse in accordance with the specified procedures monthly and quarterly.
  • Investigate and resolve problems with data and cross check of monthly reports with other related departments.
  • Proper and professional filing and storage of all data in a sound and professional manner both soft and hard.
  • Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.
  • Make sure to write the accurate spelling and information about the deeds being entered;
  • Contribute to project reporting, including support in developing charts, statistical reports and questionnaires,
  • Assist HMIS team in developing, maintenance and modification of data,
  • Complete the data entry process on warehouse in exact date.
  • Verification and cleaning of data before processing them.
  • Response to inquiries regarding entered data as requested.
  • Maintains confidential information according MHCO policies.
  • Distribution of HMIS tools on quarterly or yearly bases to all health facilities and do need the need assessment for HMIS tools needs in provincial level.
  • Do regular supervision from the health facilities and on the job training at the health facility level.
  • Ensuring the arability of HMIS update tools at HFs level (at least for 3 months).
  • Contributes to team effort by accomplishing related results as needed
  • To do any other tasks, within the MHCO central office and field offices of his or her competence, as assigned by the MEAL coordinator

Job Requirements:

  • Education: Public Health or health related midlevel.
  • Minimum 3-year work experiences with NGO/INGOs at a similar position (HMIS, HIS, data).
  • Good typing skills (typing speed at least 35 WPM)
  • Work experience in BPHS implementer NGOs.
  • Strong attention to detail, flexibility, motivation, and ability to work under pressure.
  • Excellent communication and interpersonal skills and ability to work and deal successfully in a multi-cultural environment.
  • Excellent English and Proficient in local languages (Dari and Pashto).
  • Proficiency in MS Office, especially Excel
