Job Description:
Position Objective
The Project Assistant will provide technical, monitoring, reporting, and administrative support to ensure effective implementation of the Home Gardening Project. The position plays a key role in monitoring field activities, reflecting of project progressed, writing of Success Stories based on training centers observations, collecting and managing data, preparing regular reports, and documenting project achievements and impact.
Key Duties and Responsibilities
1. Project Implementation Support
- Support day-to-day implementation of project activities in education, home gardening, greenhouse management, and livelihood components
- Assist in the operation and monitoring of community-based education centers
- Coordinate with trainers, facilitators, and field staff to ensure smooth delivery of activities
2. Monitoring and Supervision
- Conduct regular and accurate field monitoring to ensure project activities are implemented according to the approved work plan
- Monitor training centers, classroom, attendance, and agricultural activities
- Identify challenges during implementation and report findings to the Project Manager
3. Reporting and Documentation
- Prepare and submit regular monthly progress reports to the Project Manager on project implementation
- Contribute to quarterly and final project reports
- Maintain proper documentation of activities, monitoring visits, and meetings
4. Attendance and Record Management
- Prepare and maintain attendance records of project staff, including teachers and facilitators
- Maintain student attendance records for all training centers
- Ensure proper filing and archiving of attendance sheets and related documents
5. Success Stories and Impact Documentation
- Write Success Stories based on training centers observations, monitoring visits, and real-life stories of students and beneficiaries
- Develop Impact Stories highlighting project achievements, outcomes, and positive changes in beneficiaries’ lives
- Collect qualitative evidence, quotes, and case studies for donor and organizational reporting.
6. Data Collection and Database Management
- Collect project-related data (agriculture, livelihoods,education) on a regular basis
- Develop, update, and maintain project databases (primarily in Excel)
- Ensure accurate data entry, verification, and organization
- Support the M&E team in basic data analysis and reporting
7. Coordination and Administrative Support
- Coordinate with community leaders, CDCs, and beneficiary families when required
- Support logistical arrangements for trainings, meetings, workshops, and graduation ceremonies
Perform any other duties assigned by the Project Manager or GRLO management
Job Requirements:
Required Qualifications and Skills
Education
- Bachelor’s degree in Agriculture, English literature, or a related field
Experience
- at least 3 years of relevant experience in food security, agriculture and livelihood or education.
- Previous experience with NGOs and community-based projects is an asset
Technical Skills
- Strong skills in report writing and documentation
- Experience in data collection, database management, and use of Excel
- Basic understanding of Monitoring and Evaluation (M&E) concepts
- Ability to write professional Success Stories and Impact Stories
- Strong communication and teamwork skills
- High level of accuracy, responsibility, and integrity
- Ability to work in field-based and challenging environments
- Commitment to gender equality, girls’ education, and community engagement
- Proficiency in report writing, data management, and use of MS Office and Excel software
- Ability to travel regularly to project locations
- Strong team spirit, flexibility, and excellent communication with local stakeholders
Language Skills (High Priority)
- Strong proficiency in English (reading, writing, and reporting) – highly prioritized
- Fluency in Dari and Pashto is required
