Job Description:
The HR Intern will support the HR department in recruitment, personnel file management, documentation, attendance tracking, staff onboarding, training coordination, and maintaining HR records. The intern will also assist in ensuring compliance with organizational HR policies and provide general administrative support to the HR team.
Duties & Responsibilities:
- Assist in maintaining employee personnel files and HR records in both hard and soft copies
- Support recruitment processes, including vacancy announcements, CV collection, longlisting, interview scheduling, and candidate communication
- Assist in preparing HR documents such as contracts, offer letters, appointment letters, warning letters, and staff ID cards
- Support attendance tracking, leave management, and timesheet follow-up
- Assist in onboarding and orientation processes for newly hired staff
- Help organize staff training sessions, workshops, and meetings
- Maintain confidentiality of employee information and HR documentation
- Support data entry and regular updating of HR databases and tracking sheets
- Assist in filing, scanning, photocopying, and archiving HR documents
- Follow up on missing employee documents such as e-NID, TIN, educational certificates, and contracts
- Support payroll preparation by verifying attendance sheets and HR records
- Assist in preparing monthly HR reports and staff lists
- Coordinate with different departments regarding HR-related matters
- Ensure compliance with organizational HR policies and procedures
- Support the implementation of PSEA, Code of Conduct, Data Protection, and Anti-Corruption policies
- Assist in preparing training attendance sheets and certificates
- Support employee performance appraisal documentation and follow-up
- Assist in tracking probation periods and contract expiry dates
- Provide administrative and clerical support to the HR department
- Perform any other HR and administrative tasks assigned by the supervisor
Job Requirements:
- Bachelor’s degree or final-year student in Human Resources, Business Administration, Management, or a related field
- Basic understanding of HR processes and administrative procedures
- Good communication and interpersonal skills
- Basic computer skills, especially MS Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and handle sensitive information
- Strong organizational and filing skills
- Ability to work in a team and under supervision
- Good command of English, Pashto, and/or Dari
- Willingness to learn and support HR activities
