Job Summary

Key responsibilities:

1.     Systematically register all incoming and outgoing documents and assign and record their registration numbers.

2.     Classify documents according to their subject matter and date.

3.     Maintain and update both manual and electronic document registration systems.

4.     Ensure the secure maintenance and systematic filing of both hard-copy and electronic documents in the electronic system as well as in the relevant physical files.

5.     Maintain the organization of the archive room and prevent damage to documents caused by moisture, sunlight, or fire.

6.     Ensure appropriate security measures for the protection of confidential documents.

7.     Continuously monitor the issuance and return of documents.

8.     Obtain approval from factory authorities for the disposal or removal of unnecessary and invalid documents.

9.     Prepare monthly statistical reports for periodic archive activities

10.  Register and follow up on internal and external correspondence

11.  Create a clear index or catalog for document tracking.

12.  Digitize documents through scanning and store them electronically.

13.  Perform other administrative duties assigned by management as required.

Job Requirements

·       Education: At least a Bachelor’s degree in Management, Economics, Business, Administration and Management, or other related fields. Preference will be given to candidates holding a Master’s degree.

·       Work Experience: Minimum 3–5 years of work experience in archive management. preferably within manufacturing organizations.

·       Having work experience in public administration and project management.

·       Full knowledge of administrative principles and regulations.

·       Ability to analyze archive conditions and status.

·       Proficiency in all Microsoft Office applications.

·       Ability to work in a high-pressure environment and manage time effectively.

·       Accuracy and attention to detail in all administrative activities.
