Job Description:
- Purpose of the Position
The Stock Management Officer is responsible for the efficient management, control, and monitoring of organizational stock and warehouse operations to ensure transparency, accountability, and compliance with OSSHD policies and donor requirements. The position ensures the proper receipt, storage, recording, and distribution of goods and materials in support of program implementation.

- Stock and Warehouse Management
- Receive, inspect, and verify all incoming goods against purchase orders, delivery notes, and waybills.
- Ensure proper storage, labeling, and categorization of stock items in accordance with warehouse standards.
- Maintain organized and secure warehouse conditions to prevent damage, loss, or theft.
- Monitor stock levels and ensure adequate stock availability for program needs.
- Implement First-Expiry-First-Out (FEFO) or First-In-First-Out (FIFO) principles where applicable.
B. Inventory Control and Documentation
- Maintain accurate stock records, bin cards, stock cards, and inventory databases.
- Prepare and update stock movement reports, goods received notes (GRN), goods issue notes (GIN), and delivery documentation.
- Conduct regular physical inventory counts (monthly/quarterly) and reconcile discrepancies.
- Report stock variances or irregularities immediately to the supervisor.
C. Distribution and Dispatch
- Coordinate timely dispatch of materials to field locations based on approved requests.
- Ensure proper documentation and tracking of distributed items.
- Verify acknowledgment receipts from receiving departments or beneficiaries.
D. Compliance and Accountability
- Ensure compliance with OSSHD logistics, procurement, and financial policies.
- Adhere to donor regulations and audit requirements.
- Support internal and external audits by providing required stock documentation.
- Ensure proper asset tagging and tracking where applicable.
E. Coordination and Reporting
- Coordinate closely with Procurement, Finance, and Program teams to ensure smooth supply chain operations.
- Submit regular stock status reports to the Logistics/Operations Manager.
- Provide advance notice for low-stock items and replenishment needs.
F. Safety and Risk Management
- Ensure warehouse safety standards are maintained, including fire prevention and safe storage practices.
- Maintain cleanliness and security of warehouse premises.
- Implement measures to minimize stock loss and operational risks.
Job Requirements:
Job Requirements and Experience:
- Minimum graduated from high school
- Minimum 2–3 years of experience in stock management, warehouse operations, or logistics, preferably within an NGO or humanitarian setting.
- Technical Competencies

- Familiarity with stock tracking software is an advantage.
