Job Summary

The Procurement Assistant supports the procurement function by assisting in the acquisition of goods, services, and works in accordance with organizational policies and procedures. The position is responsible for processing procurement documentation, obtaining quotations, maintaining procurement records, coordinating with suppliers, and ensuring timely delivery of goods and services to support organizational operations and program activities.

Duties:

  • Assist in the procurement of goods, services, and works in compliance with organizational procurement policies and procedures.
  • Receive and review Purchase Requisitions (PRs) and ensure that all required approvals and supporting documents are attached.
  • Prepare Requests for Quotations (RFQs), bid documents, purchase orders, and other procurement-related documentation.
  • Collect quotations from suppliers and support the evaluation and comparison process.
  • Coordinate with vendors and suppliers regarding prices, specifications, delivery schedules, and payment requirements.
  • Follow up on purchase orders to ensure timely delivery of goods and services.
  • Maintain accurate procurement files, records, contracts, and supplier databases.
  • Assist in conducting market surveys and supplier assessments to identify reliable and cost-effective vendors.
  • Coordinate with the logistics, finance, and program teams to ensure smooth procurement operations.
  • Verify that procured items meet the required specifications, quality standards, and quantities before acceptance.
  • Prepare procurement tracking reports and provide regular updates on procurement status.
  • Support tendering, bidding, and contract management processes as required.
  • Ensure transparency, fairness, and accountability throughout all procurement activities.
  • Assist in resolving supplier issues, delivery delays, and procurement-related concerns.
  • Ensure compliance with donor regulations, organizational policies, and applicable legal requirements.
  • Perform any other procurement-related duties assigned by the Procurement Officer or Supervisor.

Job Requirements

  • Bachelor's degree in Business Administration, Procurement, Logistics, Economics, or a related field.
  • 2–3 years of experience in procurement, logistics, or supply chain management.
  • Good knowledge of procurement procedures and documentation.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
  • Strong organizational, communication, and record-keeping skills.
