Job Summary

The Inventory Assistant is responsible for supporting the efficient management of inventory and stock control activities within the organization. The position ensures that all assets, supplies, and materials are accurately recorded, stored, monitored, and distributed in accordance with organizational policies and procedures. The Inventory Assistant maintains inventory records, conducts stock counts, and assists in ensuring the availability of supplies to support program and operational needs.

Duties:

  • Maintain accurate inventory records for all assets, equipment, supplies, and materials.
  • Receive, inspect, and record incoming goods, ensuring that quantities and specifications match the relevant documentation.
  • Issue materials and supplies to departments and projects based on approved requests.
  • Update stock cards, inventory databases, and inventory tracking systems on a regular basis.
  • Monitor stock levels and report low-stock items to the supervisor for timely replenishment.
  • Conduct regular physical inventory counts and assist in periodic stock verification exercises.
  • Assist in asset tagging, registration, and tracking of organizational assets.
  • Ensure that inventory items are stored safely, securely, and in an organized manner.
  • Prepare inventory reports, stock movement reports, and other required documentation.
  • Investigate and report any inventory discrepancies, damages, losses, or expired items.
  • Coordinate with procurement, logistics, and warehouse teams to ensure proper inventory management.
  • Support annual asset verification and inventory audits.
  • Ensure compliance with organizational inventory management policies, procedures, and donor requirements.
  • Maintain proper filing of inventory records, goods received notes (GRNs), issue vouchers, and other related documents.
  • Assist in the disposal process of damaged, obsolete, or expired items in accordance with organizational procedures.
  • Promote accountability, transparency, and accuracy in all inventory management activities.
  • Perform any other duties assigned by the Inventory Officer, Logistics Manager, or Supervisor.

Job Requirements

  • Bachelor's degree or diploma in Business Administration, Logistics, Supply Chain Management, Accounting, or a related field.
  • At least 2–3 years of experience in inventory, warehouse, logistics, or asset management.
  • Good knowledge of inventory control procedures and record-keeping.
  • Proficiency in Microsoft Office applications, especially Excel.
  • Strong organizational, numerical, and communication skills.
  • Ability to work accurately and maintain attention to detail
