Institutional Background

ACGF Foundation is a charitable foundation incorporated in Cologne, Germany (established in 2014). ACGF’s mission is to improve access to finance for Afghanistan’s micro, small, and medium-sized enterprises (MSMEs) by strengthening formal MSME finance and contributing to private-sector development, financial inclusion, and employment creation. 

ACGF’s core operations combine credit guarantees with technical assistance to partner financial institutions (PIs). Through its guarantee instrument, ACGF shares a portion of the default risk to de-risk MSME lending and expand the availability of responsible financing, including Sharia-compliant guarantee structures. In parallel, ACGF provides tailored technical assistance to strengthen PI capacity in MSME lending, including credit processes, risk management, product development, and staff capabilities, with support for transitions to Sharia-compliant financing models in Afghanistan. 

In addition, ACGF provides direct support services to MSMEs through matching grants and market education initiatives that stimulate investment and strengthen enterprise resilience, with a focus on strategic target groups, including returnees, youths, women-owned businesses, and rural MSMEs. ACGF maintains an in-country presence through its ACGF INGO in Kabul, registered with the Ministry of Economy in November 2024, to support implementation and stakeholder engagement in Afghanistan

Job Summary

Position Purpose

The Management Support and Coordination Intern will support the management in day-to-day coordination, communication, documentation, and administrative follow-up. The intern will help organize meetings, maintain schedules, prepare minutes and basic reports, track action points, support correspondence, and assist with office coordination tasks.

 

The role is designed to provide practical exposure to professional office management, internal coordination, and organizational communication in a development-focused environment.

Job Requirements

Main Duties & Responsibilities 

1. Support to management

·         Assist the management with day-to-day administrative and coordination tasks.

·         Help maintain managers' schedules, appointments, and meeting calendars.

·         Prepare meeting files, background materials, and briefing notes as requested.

·         Support follow-up on management decisions and pending action points.

·         Organize and maintain electronic and hard-copy files accurately and confidentially.

2. Meeting and schedule coordination

·         Coordinate internal and external meetings, including scheduling, confirming attendance, and preparing meeting arrangements.

·         Draft meeting agendas in coordination with the supervisor.

·         Take minutes during meetings and share them in a clear and timely manner.

·         Track agreed action items and follow up with relevant staff on deadlines and updates.

·         Support event and visit coordination when management meetings involve external stakeholders.

3. Reporting and documentation support

·         Compile information from different teams for management review.

·         Support data entry, document formatting, and record-keeping in Word, Excel, PowerPoint, and shared filing systems.

·         Ensure that documents are properly named, stored, and easy to retrieve.

·         Help maintain simple trackers for correspondence, meetings, and follow-up actions.

4. Communication and administrative support

·         Support communication and coordination with internal departments and external counterparts as assigned.

·         Receive, organize, and route documents and information to relevant staff.

·         Provide general administrative support to ensure smooth office coordination.

·         Carry out other tasks assigned by the supervisor in line with the internship purpose. 

Key Selection Criteria

 

Education:

·         Bachelor’s degree completed within the last year, or final-year student, in Business Administration, Management, or a related field.

·         Basic understanding of administrative procedures, office coordination, and document management.

·         Eagerness to learn about logistics, filing systems, vehicle management, and office operations.

·         Proficiency in Microsoft Office (Excel, Word, Outlook); familiarity with Google Workspace is a plus.

·         Strong organizational and time management skills, with attention to detail.

·         Good communication skills in English and local languages (Dari/Pashto).

·         Ability to work under supervision and as part of a team in a fast-paced environment.

Experience:

·         No prior professional experience is required; however, any volunteer work, or academic project related to administration will be an asset.

·         Familiarity with office environments and administrative workflows is preferred.

·         Basic understanding of filing systems, documentation, in an organizational setting.

·         Interest in learning about procurement, vehicle coordination, inventory tracking, and administrative compliance.

·         Ability to follow instructions, manage time effectively, and multi-task in a fast-paced setting.

·         Willingness to take on new challenges and demonstrate a proactive and responsible attitude.
