Responsible for supporting the end-to-end management of the Document Verification Unit (DVU) under the direct supervision of the Passenger Document Verification Supervisor. The primary role is to conduct thorough and efficient verification of passenger travel documents at the boarding gate, ensuring full compliance with the Standard Ground Handling Agreement (SGHA), ICAO standards, and national aviation security regulations. The assistant plays a critical role in preventing immigration fines and departure delays by supporting the Supervisor in maintaining the highest standards of document control, passenger profiling, and customer service.
Duties, Responsibilities and Accountabilities:
Under-Aircraft Document Verification:
- Perform preliminary and secondary checks of passenger travel documents (passports, visas, resident permits, and tickets) at the boarding gate, under the direction and oversight of the Supervisor.
- Verify that every passenger has valid documentation for their transit and final destination as required by respective immigration authorities.
- Identify and flag any discrepancies or missing documents to the Passenger Document Verification Supervisor immediately.
Support to Final Boarding Authorization:
- Assist the Supervisor in ensuring no passenger boards the aircraft without proper verification.
- Support the Supervisor in coordination with the Airlines Station Manager by communicating findings and relaying information regarding passenger documentation status.
Coordination and Operational Support:
- Assist in maintaining professional coordination with ground handling staff and immigration authorities as directed by the Supervisor to resolve any document-related discrepancies.
- Prepare preliminary documentation and reports for the Supervisor's review.
- Support the interception process by identifying suspicious or invalid documents and referring the passenger to the Supervisor for further assessment.
Operational Efficiency:
- Conduct document verification efficiently to facilitate a smooth and convenient boarding process, balancing speed with thoroughness.
- Ensure all verification procedures are followed to minimize the risk of departure delays or fines caused by passenger documentation issues.
Reporting and Administration:
- Assist in the preparation of detailed intercept reports and other necessary documentation.
- Maintain accurate logs and records of all document verification activities.
- Maintain personal training records and certifications, making them available for audit purposes as required.
- Provide relevant information concerning profiled passengers to the Supervisor as required.
Training and Self-Development:
- Maintain personal proficiency through continuous self-development.
- Successfully complete all training provided by the Airline and GAAC, including mandatory Dangerous Goods training, to ensure compliance with the terms of service.
- Participate actively in on-the-job training and skills development programs provided by the Supervisor.
Compliance and Audit Support:
- Ensure all verification activities comply with ICAO Technical Instructions, IATA Dangerous Goods Regulations, and SGHA terms.
- Support the Supervisor during carrier audits by demonstrating compliance with verification procedures.
- Uphold the highest standards of professionalism, integrity, and customer service.
